Upload your fence installation contract or quote to Sign PDF, add the homeowner and, for a boundary fence, the neighbour as signers, and send it before you dig. Both sign on their phones, and the sealed PDF records who agreed to the fence line, the height and the cost split.

What a fence contract needs to say

A fence quote that says "6ft fence, 18 metres, $3,780" leaves out most of what clients argue about later. Which side do the rails face? Does the old fence go to the tip? What happens if you hit a concrete footing from the last fence? Put those in writing before the first post hole.

  • Length, height and style (close-board, panel, picket, post-and-rail)
  • Post type and depth: concrete, timber in Postcrete, or metal spikes
  • Which way the good face points, and whose side the posts are on
  • Removal and disposal of the old fence
  • Hidden obstructions: old footings, tree roots, rock, buried services
  • Gates, latches and gravel boards as separate lines

Neighbour fence agreements

A boundary fence touches two properties, and often two people are paying. If only one neighbour signs your quote, you have no written agreement with the other about the line, the height or their share. Add both households as signers. In Sign PDF each person gets their own signature box, and you can send to both at once or one after the other.

Put a line in that the fence follows the existing line and does not change the legal boundary. Your contract is about the fence, not the property line; if the neighbours dispute where the boundary is, that needs a surveyor and possibly a solicitor, not a fencer. Some councils and US zoning codes also require written neighbour consent before a fence is built on the line, so check local rules. This is not legal advice.

Storm damage and landlord jobs

After high winds the phone rings all week. Insurers often want a written quote, and a landlord or letting agent may need to approve the work for a tenant's garden. Send the quote to whoever is paying, and copy the tenant on an access note if you need to be in the garden on a given day.

If you send a dozen storm quotes in a week, Full at $10 a month for unlimited documents makes more sense than Light. A fencer who does two or three big jobs a month is fine on Light at $5 for 2 documents.

Signing on site

Measure up, write the quote in the van, upload it, and the homeowner signs on their phone before you leave the drive. If you still use a printed quote pad, take a photo of the page and upload it; Sign PDF turns photos into a PDF and places the boxes. The signed copy has a certificate with each signer's email, IP address, device and signing time.

We do not send invoices, take deposits or order materials. Use Sign PDF for the signature and keep your usual tools for the rest.

Questions people ask

Do both neighbours need to sign a fence contract?

If both are paying or the fence is on the shared boundary, yes, it is wise. It records that both agreed to the line, height and cost split.

Can I add the cost split to the contract?

Yes. Write it as a line (50/50, or a fixed amount each) and have both households sign. Invoice each one separately in your usual way.

What if we hit an old concrete footing?

Say in the contract how you price it, for example a fixed charge per footing broken out. Then send a short change order for the client to sign on the day.

Does the contract decide where the boundary is?

No. It should say the fence follows the existing line and does not change the legal boundary. Boundary disputes need a surveyor or solicitor.

Can I photograph my paper fence quote and send it?

Yes. Upload the JPG or PNG and Sign PDF turns it into a PDF with signature and date boxes. If your phone saves HEIC photos, export the picture as a JPEG first.
