Short answer
Wedding photographers send their booking contract through Sign PDF to both partners, who each sign on their own phone, and the date is held once both signatures and the retainer are in. Put the usage rights clause in plain terms: you keep the copyright and the couple gets a personal-use licence and print release.

Clauses every wedding photography contract needs
Couples book a year ahead and forget the details by the wedding. The contract is what both sides go back to when the timeline slips or the gallery takes longer than expected.
- Date, venues and hours of coverage, with the overtime rate.
- Retainer to hold the date, and when the balance is due.
- Delivery: an approximate number of edited images and a delivery window. Raw files are usually not supplied; say so.
- Copyright and licence: you keep copyright; the couple gets personal use and a print release.
- Portfolio use, with a checkbox for couples who want privacy.
- Cancellation, postponement, and what happens if you are ill on the day.
- A hot meal and breaks for you and your second shooter.
Usage rights and model releases
The couple does not own the copyright unless they buy it, and the contract should say so in plain words. They can print, share online and make albums for themselves; they cannot sell the images or license them to a magazine without asking you.
Guests, children and vendors in your shots have their own rights over their likeness. If you plan to use an image commercially, for an ad or a styled shoot sold to a brand, get a model release from the people in it. A short photo release sent through Sign PDF takes a guest a minute on their phone. A parent signs for a child.
Both partners, separately
Couples are often in different places when the contract arrives. Add each partner with their own email; each confirms a six-digit code and signs on their phone. You can set an order so you sign last, after both of them. The certificate shows both names, emails, devices and signing times.
Second shooters and associates need their own contractor agreement covering pay, image ownership and whether they can use the photos in their portfolio. Send that through Sign PDF too.
Plans and what we leave to your studio software
A photographer booking a few weddings a month will send contracts, second shooter agreements and the odd model release, so Full at $10 a month for unlimited documents is the usual choice. Light at $5 covers 2 documents a month, enough in a quiet season.
We do not take retainers, host galleries or manage enquiries. If your studio software already handles contracts and you are happy with it, stay there. Sign PDF suits photographers who want their own PDF contract signed and sealed without a monthly CRM bill.
Questions people ask
Do both partners need to sign the wedding photography contract?
It is good practice, because both are booking you and both may be liable for the balance. Add both as signers.
Can I send the contract and an invoice for the retainer together?
Send the contract through Sign PDF and the invoice from your accounting tool. We do not take payments.
Can guests sign a model release at the wedding?
Yes, on their own phone, as long as they can open their email. Send each guest a short release with their name.
Is an e-signed wedding contract legally valid?
For an ordinary service contract, electronic signatures are generally valid in the US, UK, EU and UAE. This is not legal advice; ask a lawyer to review your template.
