For property managers
E-signatures for property managers
Short answer
Sign PDF helps property managers clear the steady flow of renewals, owner approvals and contractor paperwork that crosses their desk every week. Saved templates mean a renewal letter goes out with its boxes already placed, and automatic reminders chase the tenant who has not opened it. Full at $10 a month covers unlimited documents across every unit you manage.

Which documents does a property manager sign most often?
Volume is the defining feature. A manager running 80 units may send a dozen renewals a month in the busy season, on top of new leases, notices and the paperwork that keeps owners informed. Each one is short, but they all need a signature back before a date.
The other side of the job is owners and contractors. A management agreement sets the fee and authority with each owner. Maintenance over an agreed spending limit needs the owner's sign-off, and contractors want a signed work order before they start.
- Property management agreement with each owner
- New leases and lease renewals
- Rent increase and renewal offer letters
- Maintenance authorisations and work orders
- Move-in and move-out inspection reports
- Pet, parking and storage addenda
What slows a property manager's signing down?
Chasing. A renewal offer that sits unopened for two weeks becomes a vacancy risk, and calling each tenant is the part of the job nobody has time for. Tenants also sign on their phones far more than at a desk, so a process that needs a printer or an account will stall.
Owner approvals have the opposite problem. The owner may be overseas and slow to reply, while the contractor is waiting on site. A signed approval with a clear date and amount protects you if the owner later questions the bill.
How property managers run renewals in Sign PDF
Set the renewal up once and most of the work after that is typing a name and an email.
- Upload your renewal letter or lease extension and check the boxes Sign PDF places from the labels.
- Save it as a template on the Full plan, with tenant and manager boxes in place.
- For each unit, open the template, add the tenants' names and emails, set an expiry a few days before your decision deadline and switch on reminders.
- Send a maintenance approval as its own document to the owner, with a free-text field for the amount and a checkbox for 'approved'.
- Keep each completed PDF with its certificate. Anyone can check a copy against the sealed original at signpdf.ai/verify.
How much does it cost a property manager?
Light at $5 a month is 2 documents, which a property manager would use up in the first week. Full at $10 a month is the realistic plan: unlimited documents, signing order, automatic reminders and templates.
There is no per-unit or per-signer charge. A renewal signed by three tenants counts as one document, and drafts you prepare but do not send are free.
Limits property managers should know about
We have no bulk send, so 40 renewals means 40 sends from a template rather than one upload with a spreadsheet. We also have no team seats, roles or shared inbox, which a management company with several staff will probably miss. There is no API and no connection to property management software.
We do not collect rent, deposits or application fees. If you already pay for software that handles tenancies end to end and includes signing, using that may be simpler than adding another tool.
Questions people ask
Can I send the same renewal to many tenants at once?
Not in one action, because we do not offer bulk send. Save the renewal as a template and send it to each unit's tenants in turn; it takes about a minute per unit.
Will tenants get reminded automatically?
On the Full plan you can switch on automatic reminders when you send. You can also send a reminder by hand from the dashboard at any time.
Can an owner approve a repair from their phone?
Yes. The owner gets an email link, confirms a code and signs in the phone browser. The certificate records the time they signed in UTC, which is useful if the approval was urgent.
Can several staff share one Sign PDF account?
We do not have team seats or user roles. Each account belongs to one person, so a larger office may want a tool built for teams.
