E-signatures for real estate agents

Short answer

Sign PDF lets an agent upload a purchase offer or listing agreement, have the buyer and seller boxes placed from the wording on the form, and send it for signing from a phone between viewings. Buyers sign on their own phone with a six-digit email code, no app or account, and the finished PDF carries a certificate of completion and a sealed timestamp. The Full plan at $10 a month covers unlimited deals.

What paperwork does a real estate agent send for signature?

Most of an agent's signing happens in short bursts around a single property. A listing goes live and the seller signs the listing agreement and the property disclosure. An offer comes in, the buyer signs it, the seller counters, and the counteroffer goes back the same afternoon. Then come the addenda: inspection contingency removals, repair requests, closing date extensions.

In the United States, buyer agents also need a signed buyer representation agreement before touring a home with a client, a rule that came in with the August 2024 changes that followed the National Association of Realtors settlement. That one document now sits at the very start of every buyer relationship, often signed in a car outside the first house.

  • Listing agreement and seller disclosure statement
  • Buyer representation agreement
  • Purchase offer, counteroffer and acceptance
  • Addenda: inspection, repairs, financing contingency, extension
  • Agency disclosure and lead paint disclosure for older homes

Why are property forms awkward to sign electronically?

State and association forms are long, dense and full of initials. A typical residential purchase contract asks both buyers to initial the foot of every page and sign in three or four separate places, and a seller counter may need initials beside a single struck clause. Miss one initial box and the other side's agent sends it back.

Many of these forms already arrive as fillable PDFs with their own text fields for price, earnest money and dates. A tool that flattens those fields or ignores them makes the agent retype figures, which is where mistakes creep in. There is also the matter of who signs: two buyers, two sellers, sometimes a trustee or someone holding power of attorney, and each needs their own set of boxes.

How do you send an offer for signature with Sign PDF?

The steps are the same at a desk as in the car park of a showing. Each signer gets a link by email and signs in their phone browser.

  • Upload the offer as a PDF, or a photo of a printed page if that is all you have. Existing form fields are detected and kept.
  • Sign PDF reads the labels next to each blank (Buyer, Seller, Buyer's Initials) and places signature, initials and date boxes for the right person.
  • Type 'buyers initial every page' or 'seller signs after both buyers' into the editor and the fields and order change to match.
  • Add each signer's name and email, set an expiry date to match the offer deadline, and send.
  • When everyone has signed, the completed PDF and its certificate go to all parties, and the file is sealed so any later edit shows up in a PDF reader.

What does it cost for an agent's volume?

A part-time agent closing a deal every month or two might get by on Light at $5 a month, which covers 2 sent documents. In practice a single transaction rarely stays at two: offer, counter, and an inspection addendum is already three.

Most working agents will want Full at $10 a month. It has unlimited documents, signing order, automatic reminders and templates, so your buyer representation agreement can be saved once and reused for every new client. A document only counts once it is sent, and it counts once however many buyers and sellers sign it.

Where Sign PDF is not the right tool for agents

We do not connect to MLS forms libraries or transaction management systems, so a brokerage that runs every file through one of those will usually be better served by the signing built into it. We also have no team seats or broker oversight, which matters if your managing broker needs to see every agent's files in one place.

Deeds, mortgage documents and anything that has to be notarised are outside what we do. Closing documents usually go through the title company, escrow officer or conveyancing solicitor, who will have their own process. This is not legal advice, and local rules on what can be signed electronically vary by state and country.

Questions people ask

Can buyers sign a purchase offer on their phone?

Yes. They open the email link, confirm a six-digit code sent to their email address, and draw or type their signature in the phone browser. There is no app to install and no account to create.

Will Sign PDF keep the fields on my state association form?

Existing PDF form fields are detected and kept, so price, dates and other typed entries stay where the form put them. You can still add or move signature and initials boxes on top.

Can both buyers sign the same offer?

Yes. Every document allows unlimited signers, so two buyers, two sellers and both agents can sign one file. You can have them sign at once or one after another.

Is an e-signed purchase contract valid in the US?

Ordinary purchase contracts can be signed electronically under the federal ESIGN Act and the UETA, which most states have adopted. Deeds and documents needing a notary are different. This is not legal advice, so check with your broker or a lawyer for your state.

Can I reuse my buyer representation agreement?

Yes, on the Full plan. Save the agreement as a template with its boxes in place, then add the new client's name and email each time you send it.
