Short answer

Upload your flooring quote or installation contract to Sign PDF, check the signature, initials and date boxes it places, and email it to the homeowner, who signs on their phone without an account. Put the subfloor, moisture and acclimation terms in the same document so the client initials them before you order material.

What goes in a flooring installation contract

Most flooring disputes are about square footage, what was underneath, and who moves the furniture. A contract that pins those down before the first board is cut saves an awkward phone call later.

A one or two page agreement is enough for a domestic job. List the rooms, the product by name and batch if you have it, and the following:

  • Measured area and the waste allowance you have priced in, usually 5 to 10 per cent, more for herringbone or diagonal layouts.
  • Uplift and disposal of the old floor, including tack strip, staples and old adhesive.
  • Subfloor preparation priced separately: levelling compound per square foot, plywood overlay, or an hourly rate for anything found on the day.
  • Moisture testing method and the reading you took, with the limit the manufacturer sets.
  • Acclimation period for wood and some vinyl products, and what happens if the boards cannot be stored on site.
  • Trims, thresholds, door trimming and skirting, and whether moving furniture and appliances is included.

The subfloor and moisture clause

Wood and wood-based products move with moisture, and manufacturers say so in their fitting instructions. If a slab tests high, you either quote a moisture barrier or wait. Write that choice into the contract, and add that a reading reflects conditions on the day it was taken.

This is the clause to have initialled, not just signed at the bottom. In the Sign PDF editor you can type 'client initials beside the moisture clause' and the box appears next to it. Months later, if the floor cups after a leak, you have a sealed PDF showing the client read and accepted the condition on a named date.

Sign at the measure-up, not a week later

The best time to get the quote signed is while you are still in the house with a tape measure in your hand. Upload the quote from your phone, add the homeowner's email, and they sign on their own phone after confirming a six-digit code sent to their inbox. If you wrote the quote on paper, take a photo of it and upload that; it becomes a PDF with the boxes placed.

When you lift the carpet and find rotten boards or old tiles bonded with asbestos-era adhesive, stop and send a one-page change order with the new price before you carry on. It takes the client a minute to sign, and it means the final invoice holds no surprises.

What it costs, and what we leave to other tools

A fitter doing two or three big installs a month fits the Light plan at $5, which covers 2 sent documents. If you also send change orders and small quotes, Full at $10 a month is unlimited and lets you save your standard contract as a template. A document counts once, however many people sign it.

We do not take deposits, raise invoices or book jobs into a calendar. Keep using your accounting or job software for that; Sign PDF handles the part where someone has to sign.

Questions people ask

Can the homeowner sign the flooring quote while I am still on site?

Yes. They open the email link on their phone, enter the six-digit code we send them, and sign in the browser. There is no app to install. They do need access to their email on that phone.

Is an e-signed flooring contract legally binding?

For an ordinary installation contract, an electronic signature is generally valid under the US ESIGN Act and UETA and under UK law. Some states and countries add rules for home improvement contracts signed at home, such as a cancellation notice, so check what applies where you work. This is not legal advice.

Both owners want to sign. Can I add two people?

Add as many signers as you need, each with their own email. You can let them sign at the same time or set an order, for example both owners first and you last.

Can I reuse my standard flooring contract?

On the Full plan you can save any document as a template, so the fields stay where you put them and you only change the room sizes and price each time.
