Short answer
Send your removal quote and terms through Sign PDF so the customer signs before you book the crew, then use a short inventory or delivery sign-off on moving day. The quote should say whether the price is fixed, what the inventory includes, the access at both ends, and the limit of your liability for damage.

What a removal quote and contract should cover
Most removal disputes come from three gaps: items that were not on the survey, access that was worse than described, and damage. A quote that lists the inventory and the access and says plainly what you cover is the best protection you have.
- The inventory or volume quoted for, and the charge for extra items found on the day
- Fixed price or hourly rate, and what changes it
- Access at both ends: stairs, lifts, parking, permits, long carries
- Packing materials and who packs what
- Liability: per-item limit, high-value items to be declared, extra cover offered
- Postponement and cancellation charges
- When payment is due, and what happens if keys are not released on completion day
Binding and non-binding estimates in the US
For interstate household moves, US federal rules set out binding and non-binding estimates and require movers to give customers the FMCSA booklet "Your Rights and Responsibilities When You Move". Local and intrastate moves follow state rules, and some cities have their own movers' contract requirements. Check what applies where you work; this is not legal advice.
Whatever the rules, the customer's signature on the estimate is what fixes the price you both agreed. Sign PDF records the time they signed, the email code they confirmed, and the exact file they saw, so there is no question later about which version of the quote was accepted.
Moving day: inventory and delivery sign-off
At the new address, ask the customer to sign a short delivery note confirming everything arrived and listing any damage. If you use a printed sheet, photograph it and upload it; Sign PDF turns the photo into a PDF and adds signature boxes. The customer signs on their phone in the hallway, and you send the sealed copy to them and keep one for your claims file.
Changes on the day, such as a garage full of items nobody mentioned, should go on a quick change order with the extra cost before you load them.
Joint movers and pricing
Couples moving together should both sign the quote, especially where the cancellation terms bite. Add both names as signers; you can send to both at once.
A small removals firm doing a few moves a month is fine on Light at $5 for 2 documents. A firm sending quotes daily and a delivery note with every move will want Full at $10 for unlimited documents. We do not take deposits, issue invoices, plan crews or run storage billing.
Questions people ask
Should the customer sign the removal quote before booking?
Yes. A signed quote fixes the price, inventory and terms. Book the crew only once it is back.
Can I limit my liability for damage?
Most removal firms set a per-item limit and offer extra cover. Consumer law limits how far this can go, so have your terms checked. This is not legal advice.
How do I get a delivery note signed at the new house?
Upload the note or a photo of your paper sheet and send it to the customer. They sign on their phone before you leave.
Do you send the FMCSA booklet for us?
No. You can attach it to your own email or include it in your paperwork, but Sign PDF does not check regulatory requirements.
Can customers sign the night before the move?
Yes. Send it whenever suits; the link works on any phone or computer, and you can set an expiry date so an old quote cannot be signed weeks later.
Send your next removal quotation and acceptance for signature
Upload it from your phone or laptop. The boxes go in the right places, your client signs on their phone, and you get a sealed copy back.
