Bill of sale template

Short answer

A bill of sale is a signed record that a seller has sold an item to a buyer: what it is, its serial or identification number, the price paid, the date, and that ownership has passed. This template is free to fill in and download as a PDF, and you can send it for e-signature in Sign PDF with the Seller's and Buyer's boxes placed for you.

When to use a bill of sale

Use it for private sales of anything valuable: a car, motorbike, boat, trailer, horse, tools, machinery, a piece of furniture or a used laptop. It gives the buyer proof of ownership and the seller proof that the item, and responsibility for it, has gone.

Many licensing and registration offices ask to see one when a vehicle or boat changes hands. Some also have their own official transfer form, which you complete as well as this document.

What the key clauses do

These are the details buyers, sellers and registration offices expect to see.

  • Item description and identification: make, model, year and serial number, VIN or registration, so the item cannot be confused with another.
  • Price and payment: the amount and how it was paid, with the seller confirming receipt.
  • Ownership: the seller confirms they own the item and it is free of loans or claims.
  • Condition: sold as seen, with any known faults the seller has disclosed.
  • Handover: the date risk passes to the buyer, so who is responsible for a crash or theft is clear.

How to adapt it

For a vehicle, add the mileage reading to the description. If any faults are known, list them in the condition box: a seller who discloses a fault is in a much stronger position than one who stays quiet. If the sale is on finance or in instalments, use a sales contract instead, because this bill of sale records a completed sale.

This template is a starting point, not legal advice. Some places require a notarised bill of sale or a particular form for vehicles and boats, and consumer law may give buyers rights when the seller is a business. Check the local rules for high-value or registered items.

Getting the bill of sale signed

Fill in the boxes above and download the bill of sale as a PDF, free and with no account. To get it signed, send it from Sign PDF: the signature, name and date boxes for the Seller and the Buyer are already placed and labelled, so you only add each signer's email.

Each signer opens an email link, confirms a six-digit code sent to their inbox and signs in the browser on a phone or laptop, with no app and no account. When the last person signs, the boxes are written into the PDF, a certificate of completion is added at the end, and the file is sealed with a digital signature and a timestamp so any later change shows.

Both sides can sign on their phones at the handover, and each gets the sealed PDF by email to keep. The Light plan at $5 a month covers 2 documents a month.

Questions people ask

Does a bill of sale need to be notarised?

In most places, no. A few states and countries require notarisation for certain vehicles or boats, so check with the local registration office.

Does a bill of sale prove ownership?

It is good evidence that ownership passed from the seller to the buyer. For registered vehicles, the registration document or title is the main record, and you will still need to update it.

What does 'sold as seen' mean?

The buyer accepts the item in its current condition, having had the chance to inspect it. It does not protect a seller who hid a fault or misdescribed the item.
